ZOHO CRM – Show/Hide Fields on form

In Zoho CRM, you can now establish “Layout Rules” that will show or hide fields and/or sections and/or make fields mandatory based on criteria!  This will go a long way towards managing your module forms and making them easier for your users to use!

For example, let’s say you sell two “Types” of Services.  Based on the type of service you sell, you need to collect a different set of information for your Deal record.

Pre-requisites:

  • Create a custom pick-list field, “Deal Type” and add the two types as options for the field. <how to add custom field>
  • Create two separate form “sections” and add custom fields that pertain to the data you want collected for each of the two service types.

Now setup Layout Rules that will show the right section based on the Deal Type selected…

  • Click the tool icon (upper right) and select Setup
  • Under Customization, select Modules
  • For our example, we’re going to click on the Deal Module (formerly known as Potentials)
  • In the upper navigation menu click on the new “Layout Rules” Choice
  • Click the blue +New Layout Rule button to open the Layout Rule Wizard
  • Enter a name and description, then choose the “Deal Type” field as the primary control field (or any picklist)
  • Enter the first condition (you can add more later) – for our example it will be “Deal Type” is “Service Type 1”.
  • Click the Trigger an Action blue link and, for our example, choose Show Section
  • For our example, we select the section from the drop down list for Service Type 1
  • “Choose an Option” blue link appears and we can add the second condition, and Action for Deal Type is Service Type 2

of course you can continuing adding conditions and actions for as many as you need for your application of this feature.

This is a new feature for paid editions that is currently being rolled out.  If you don’t have access to it yet in your account, send a request to Zoho Support asking them to add it for you.
